STATEMENT OF PURPOSEThe Pepsi Funds consist of an endowment initially created by the President's Council through a contract with Pepsi Corporation. Each year, approximately $5,000 will be available for distribution. The Pepsi Fund Committee of Heidelberg College has undertaken responsibility for disbursement of this fund. The goal of this funding is to support student initiated undergraduate research, scholarship and professional development through a variety of avenues. It is the college’s goal to fund projects for as many individuals as possible. As an undergraduate at Heidelberg College, you have the opportunity to participate in the fascinating world of research and scholarship under the tutelage of our distinguished faculty. Other forms of professional development can also be facilitated through this fund under either faculty or staff sponsorship. You are encouraged to take advantage of this opportunity, which could prove to be one of the most satisfying experiences in your undergraduate years. ELIGIBILITYProjectsThe Pepsi Funds are to be used for expenses related to travel, equipment, conference participation, and stipends for individual undergraduate projects. The projects can take many forms, including individual research and scholarship, attending professional conferences, and participating in various types of professional workshops. Undergraduates can apply for funding in the Sciences, Social Sciences, Humanities, and the Arts as well as participate in professional development activities outside of the major disciplines ApplicantsFull-time registered Undergraduates at Heidelberg College are eligible to apply for funding, as long as all obligations related to the grant are fulfilled prior to graduation. Applicants must be in good academic standing. Each applicant is required to have a faculty sponsor. Although there is no limit to the number of times a student may apply for funding, if a student has received prior funding this will be considered when available funds are limited. FundingFunding requests for travel expenses, project equipment and supplies, or stipends are to be detailed in the budget portion of the Application form. Please specify how total costs are calculated (eg. $.405/mile). For application purposes, the following are standard rates accepted by the College (Mileage @ $.405/mile; Photocopy @ $.05/copy; Perdiem @ $25.00/day+room). The review board will also be interested to see if the project is being cost-shared by an appropriate department or other source. Cost-sharing is not required for Pepsi Fund grants. The Academic Dean's Office will notify the applicant of the specific accounting requirements required for this grant. The maximum award will be $600.00 (six hundred dollars). SchedulePlease be aware of the application deadlines noted on the Grant Application Summary Sheet. Proposals received after the application deadline will not be considered until the next deadline arrives. Within four weeks of the deadline, you will be notified of the decision of the review board. If awarded the grant, you will be expected to complete the project within one year of notification, or prior to graduating (leaving) Heidelberg College, whichever comes first. Projects must start after notification (four weeks after application deadline). CommitmentBy accepting this grant, the student commits to completing all activities noted in the application. The grant will not be considered fulfilled until the student has shared their experience in the fashion noted in question 3 of the application. REVIEW PROCESSComposition and Duties of Review BoardThe Pepsi Fund Committee will consist of four faculty members (one from each of the four major academic areas-humanities, arts, social sciences, and science), one administrative staff member (from student affairs), and up to four undergraduate students (again, one from each of the four major academic areas). Other faculty may be called upon to offer opinions about particular applications. Undergraduates assigned to this committee will be required to sign a confidentiality form indicating their understanding that any information about the applicant which is part of the application process is confidential and will only be used in accessing the application. AwardWithin four weeks of the application deadline, awards of the grants will be made by the Academic Dean's Office. A sample award letter is attached. Sample Award LetterDear Undergraduate Student's Name: This letter is to inform you that your Pepsi Fund proposal, "---" has been approved for funding in the amount of $___. Your proposal was read by a faculty and student committee, and we were impressed with the high quality of your project. You will have up to one year from the date of this letter to complete your project. I will ask the Business Office to set up an account for your grant. Be sure to retain invoices or receipts of all expenses incurred under the Pepsi Fund grant, and submit them to me along with your final report. Any portion of the grant award not supported by receipts, or travel records, will not be reimbursed to you. If you require air travel to be arranged, be sure to see Nancy King.
